Guides and resources for getting the most out of BusinessOS.
1. Create your account
Register with your email, set up two-factor authentication, and create your organization. You'll land on the Dashboard — your overview of everything happening across your business.
2. Choose your workspace
BusinessOS organizes work into role-specific workspaces. Click any workspace name in the left sidebar to switch. Each workspace is optimized for a different job — Sales, Support, Customer Success, Marketing, Operations, Executive, AI Workforce, or Merchant Success. Everyone shares the same customer data, but sees it through the lens that matters to their role.
3. Import your data
Go to the Data section in your sidebar and import contacts via CSV. BusinessOS automatically detects columns by header name (Name, Email, Phone, Company, Title, etc.) and preserves unrecognized columns as custom fields.
4. Configure communications
Calling and SMS are pre-configured through the platform. Pick a phone number during setup or from Phone Numbers in the sidebar, and you're ready to go from any workspace.
5. Invite your team
Go to Members to invite teammates. Assign roles to control permissions. Your team can now work from the same workspaces simultaneously, each seeing the view that matches their role.
What is a Workspace?
A workspace is a purpose-built cockpit for one type of job. Instead of navigating between dozens of pages, each workspace puts everything someone needs for their role on a single screen. The sales rep, support agent, account manager, and marketer are all looking at the same customer — just through different lenses.
How to Switch Workspaces
Your current workspace is shown at the top of the left sidebar. Click any workspace name to switch instantly. The sidebar, dashboard, and communication screen all update to match the new workspace. You can switch at any time — your data stays the same, only the tools and layout change.
The Shared Customer Record
Every workspace shares the same People, Timeline, Communications, Documents, Tasks, and AI. When a sales rep logs a call, the support agent sees it. When marketing sends a campaign, the success manager knows about it. One customer record, many perspectives.
Available Workspaces
Left Panel — Lead Queue
Leads are organized into smart queues: Call Today, High Value, Callbacks, Replies, Scheduled, Stalled, New Leads. Click any queue to filter. Use the search bar to find leads by name or company.
Center Panel — Customer Workspace
Select a lead to see their full workspace. The header shows their name, company, and status. Quick action buttons let you Call, SMS, or Email with one click. Three tabs organize their data:
- Communication — Full history across all channels (voice, SMS, email) with a composer at the bottom
- Details — Email, phone, company, title, source, and notes fields
- Custom — Any additional fields imported from CSV or added manually
Right Panel — Journey, AI & Tasks
Four stacked sections update in real time:
- Live Notes — Always-visible notepad with slash commands
- Journey — Visual pipeline with current stage highlighted
- AI Assistant — Sentiment, likelihood to close, and Next Best Action
- Tasks — Pending tasks for the current lead
Bulk Calling
Toggle Bulk mode for outbound campaigns. Leads load one at a time with Start Call, Skip, Not Interested, Call Back, and Qualified buttons. Next Lead loads instantly.
Left Panel — Ticket Queue
Tickets appear as chat-app-style cards with filter tabs: All, My Tickets, Waiting, Unresolved, Resolved. Each card shows the customer name, message preview, priority badge, and unread indicator.
Center Panel — Conversation Thread
Messages appear as chat bubbles (inbound in gray, outbound in blue). Use canned responses for common replies, or click AI Suggest for an AI-generated response based on the conversation context.
Right Panel — Customer Context
Shows the customer's contact info, previous tickets, tags, and quick actions. No softphone — this workspace is optimized for chat-based support.
Left Panel — Retention Queue
Customers are organized by health and action needed: Renewals, Inactive, Expansion, Low Health, Follow-ups. Each card shows a health score badge (green/yellow/red) and the queue type.
Center Panel — Customer Health
Tabs show Overview (health gauge, revenue, renewal date, NPS), Usage trends, Timeline, Meetings, and Notes. The health score is prominently displayed as a circular gauge.
Right Panel — CS Tools
Health Score card, Renewal Date, Expansion Potential, AI Recommended Actions, and Customer Journey. AI suggests the next best action to prevent churn or drive expansion.
Left Panel — Campaign Queue
Campaigns organized by status: Active, Drafts, Scheduled, Completed. Below campaigns, audience segments (Restaurant Owners, Retail, New Customers, Inactive, VIP) let you target specific groups.
Center Panel — Campaign Builder
Build email or SMS campaigns with a visual builder. Select templates, compose content with merge tags, choose audience segments, and preview before sending. Analytics tab shows campaign performance.
Right Panel — Marketing Analytics
Estimated Reach, Open Rate Prediction, Best Send Time, AI Campaign Suggestions, and Performance Metrics. AI generates campaign recommendations based on your audience data.
Left Panel — Operations Queue
System-focused items: Pending Approvals, Automation Errors, Data Imports, Integration Status, Documents. Each shows type badge, priority, and status.
Center Panel — Operations Dashboard
Tabbed view: Overview (system metrics), Approvals (approve/reject workflows), Imports (progress tracking), Integrations (connected services), Documents (management).
Right Panel — System Health
System Health indicators, Active Integrations, Notifications, Automation Status, and Provider Status. Monitor the health of your entire tech stack from one screen.
KPI Dashboard
Large, prominent KPI cards show Revenue, Deals Won, Pipeline Value, AI Forecast, CSAT Score, Support Metrics, Marketing ROI, and Team Leaderboard. Charts show trends over time.
AI Briefing
The right panel shows an AI Morning Briefing (text summary of business health), Key Alerts, Team Performance, At-Risk Accounts, and Upcoming Events. This workspace is read-only — designed for monitoring, not execution.
AI Agents
The left panel shows your AI team of 17 specialized agents: Triage (routes queries), SDR (qualifies leads), Sales Coach (reviews calls), Communications (handles messaging), Marketing (builds campaigns), Customer Success (monitors health), Analyst (generates reports), Operations (monitors automations), Competitor Intelligence (tracks rivals), Scheduler (manages meetings), Content Writer (creates content), Forecasting (predicts revenue), Social Media (manages presence), Support (summarizes tickets), Recruiter (finds talent), Compliance (ensures adherence), and Prospecting (discovers new leads). Each shows status (active/working/idle), current task, and performance metrics.
Multi-Agent Crews
Agents collaborate in crew patterns for complex tasks. Sequential crews run steps in order (discover → score → enrich). Parallel crews run multiple agents simultaneously (scrape + search + social at once). Debate crews have agents argue before reaching a decision. The CrewOrchestrator manages handoffs, error recovery, and result aggregation.
Agent Detail
Click any agent to see their Tasks, Recommendations, Actions, and Performance. The center panel shows what each AI agent is doing and what it recommends. Each agent has typed input/output schemas (Pydantic models) ensuring structured, validated data exchange.
Guardrails & Safety
Every AI interaction passes through guardrails. Input guardrails check relevance (blocks injection attempts), safety (blocks harmful requests), and PII detection (flags personal information). Tool risk guardrails enforce approval rules: high-risk tools always require human approval, medium-risk tools depend on the agent's autonomy level. Output guardrails ensure responses are complete, safe, and on-topic before reaching users.
AI Insights
The right panel shows AI Recommendations, System Intelligence, Pending Approvals (items needing human review), Activity Log, and Performance metrics. This makes AI visible and trustworthy.
Left Panel — Merchant Queue
Merchants organized by stage: New Applications, Onboarding, Menu Setup, Documents, Active, At-Risk, Expansion. Each shows business type badge (Restaurant/Retail/Service) and health indicator.
Center Panel — Merchant Profile
Tabs show Profile (business details), Onboarding (interactive checklist with progress bar), Documents (compliance status), Operations (menu setup, integrations), and Timeline.
Right Panel — Merchant Health
Health Score gauge, Onboarding Progress, Revenue trends, AI Recommendations, Risk Assessment, and Expansion Opportunities. This workspace combines sales, onboarding, and success into one view.
Starting a Call
Click the Call button in the customer workspace, or press Space. The call panel appears with mute, hold, and keypad controls. A live timer tracks duration.
During a Call
Take live notes in the right panel. The journey, AI insights, and tasks remain visible so you can reference customer data during the conversation.
Ending a Call
Press End Call to open the disposition drawer. Select the outcome (Interested, Not Interested, No Answer, Busy, Wrong Number, Call Back Later), add notes, and save. One save action updates the timeline, logs the recording, adjusts the journey stage if appropriate, and schedules follow-up tasks.
Sending SMS
Click the SMS button in the customer workspace, or use the message composer at the bottom of the Communication tab. Messages are threaded by lead and appear in the communication history in real time.
Sending Email
Click the Email button to open the email composer pre-populated with the lead's address. Sent emails are logged against the lead for full history tracking.
BusinessOS accepts CSV files with any column structure. Known columns are mapped automatically:
- Name —
name,full_name,contact_name, etc. - Email —

title,job_title,position, etc.
Any other columns are preserved as custom fields on the lead and visible in the Custom tab of the customer workspace. If an email or phone appears in an unexpected column, it's detected automatically by value pattern.
Designed for agents who work through hundreds of leads per day:
The Billing section lets you manage your subscription plan, view invoices, and update payment methods through Stripe.
- View current plan: Billing → Overview shows your active plan and usage
- Change plan: Billing → Change Plan shows available options
- Cancel subscription: Contact support for cancellation assistance
Profile Settings
Update your name, email, and password from the Profile page (click your name in the sidebar footer). If your organization uses SSO, the password field is hidden and authentication is managed by your identity provider.
Organization Settings
Owners and admins can manage team members, update organization details, and configure permissions from the Members page.
Two-Factor Authentication
Reconfigure your TOTP device from Profile settings. You'll need to verify your identity before making changes. Note: if your organization enforces SSO, two-factor authentication is handled by your identity provider.
Workspace Settings
Managers can customize which workspaces are available for their organization. Go to Settings in the sidebar footer to activate or deactivate workspace types.
What is SSO?
Single Sign-On (SSO) lets you authenticate through your organization's existing identity provider (Microsoft Entra ID, Google Workspace, Okta, or any OIDC/SAML provider) instead of using a BusinessOS password. When SSO is enforced, all organization members must sign in through the configured identity provider.
How to Configure SSO
Organization owners can set up SSO from Settings → Integrations → Identity Providers. Select your provider type, enter the OAuth client credentials, and configure attribute mapping. Once configured, the SSO login button appears on the login page for your organization's domain.
SCIM User Provisioning
SCIM (System for Cross-domain Identity Management) enables automatic user provisioning and deprovisioning from your identity provider. When SCIM is enabled, creating or deactivating a user in your IdP automatically creates or deactivates their BusinessOS account. SCIM endpoints are available at /integrations/scim/v2/ for integration with Microsoft Entra ID, Okta, and other SCIM-compliant providers.
LDAP / Active Directory
Organizations using LDAP or Active Directory can authenticate users directly against their directory server. LDAP users are provisioned and their attributes are synced on each login. Configure your LDAP server connection details in Settings → Integrations → Identity Providers.
Password Resets for SSO Users
If your organization uses SSO, password resets are handled by your identity provider. BusinessOS will redirect you to your IdP's password reset flow instead of allowing local password changes.
Webhook Connectors
BusinessOS supports webhook-based integrations for real-time event notifications. Configure webhooks in Settings → Integrations to receive events for contact updates, pipeline changes, call completions, and more.
IdP Connectors
Pre-built connectors are available for Microsoft Entra ID, Google Workspace, Okta, and LDAP. Each connector handles authentication, user provisioning, and directory sync automatically. Connectors are configured through the Integrations admin page.
Integration Audit Log
All integration events — SSO logins, SCIM provisioning actions, webhook deliveries, and connector sync operations — are logged in the Integrations audit log for compliance and troubleshooting.
